Job Description
Principal Administrative Associate level II
Qualifications Requirements:
1. A baccalaureate degree from an accredited college and three years of satisfactory full- time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2, An associate degree or 60 semester credits from an accredited college and minimum of two years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in “1” above; or
3, A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in “1” above;
4. Education and/or experience equivalent to “1”, “2”, or “3” above. However, all candidates must possess the one year of administrative or supervisory experience as described in “1” above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in “1” above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 years.
For placement into Assignment Level II, in addition to meeting the qualification requirements for Assignment Level I, candidates must have at least one additional year of experience as described in “1” above in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty.
2. Experience Requirements: Perform complex, administrative and secretarial duties while maintaining an efficient work environment, and understanding the highly confidential nature of the position. Type memorandum and transmit correspondence. Prepare statistical and financial reports. Answers telephone, screen calls, and take messages. Organize and maintain filing system. Maintain appointment calendar, schedules meetings and prepare material for meetings. Take notes in the meetings and prepare meeting minutes. Monitor and manage the office supplies. Performs other duties as assigned by the supervisor for smooth and professional operation of his office.
3. Special Skills/Training Requirements: Strong written, verbal and interpersonal communication skills, including a working knowledge of PC applications such as Microsoft Word, Excel, PowerPoint, etc.
4. Description of Work: The candidate will be required to assist Design Managers or Construction Manager in performing administrative tasks in the office. Such tasks may include preparing memorandums, reports, and power point presentations. The candidate will also be responsible for answering phone calls, sending reminders, scheduling meetings, and updating PSRs, and filing systems as well as supporting Construction Manager’s office for smooth and professional operation of his office.
